An Executive Assistant would be responsible for managing all operations, administration and process-related functions for their assigned team. This role requires a high level of coordination with multiple stakeholders, making time-management and interpersonal communication skills essential. The ideal candidate would thrive in a cross-functional, deadline-driven environment and would enjoy working in a role that is highly organised and execution-focused.
Graduate in any field;
2-4 years of work experience as an executive assistant;
Excellent written and oral communication skills in English;
Experience working with Word, Excel, Gmail and Google Calendar and Adobe Acrobat;
Exceptional interpersonal skills;
Accustomed to maintaining discretion and confidentiality - this is at the core of our business!;
Proven ability to be meticulous with work;
Proven track record of excellent organisational and time management skills;
Accustomed to performing well in a deadline-oriented and high-pressure role;
Manage complex, end-to-end calendars, balancing priorities and anticipating scheduling needs for your assigned team;
Coordinate and schedule internal and external meetings across time zones;
Assist in the vetting of documents by proof reading , formatting, and collating documents;
Maintain and continuously improve an organised filing system, promoting efficiency, accuracy, and ease of access;
Assist with tracking client deliverables by updating and maintaining trackers, and monitoring deadlines;
End-to-end timesheet management for your assigned team;
Ensure meetings are documented with clarity ;
Assist with conducting preliminary market research and identifying prospective clients;
Drive cross-functional collaboration by coordinating with the finance, talent, human resources, strategic initiatives, and administration teams to support and optimise team processes;
Assist with structuring and designing client pitches and presentations.
